Message a client and follow up clearly

Find the right conversation, confirm its recipients, and send a specific message with one useful next step. Use the examples below as starting points for your own wording.

Messages → conversation or +
On this page

1. Find or start the conversation

Open Messages. Use Search conversations and the All or Unread view. The + control is labeled Start a new conversation.

If you are looking for an existing exchange, check All before starting another thread. The empty example offers Start a conversation and Or start a new one.

2. Check the recipients

Choose Start a new conversation. Search people, or narrow the choices with All, Customers or UncleKam team. Select the intended recipient, then use Start chat when available.

The example below shows test customers with no recipient selected, so Start chat is disabled. If your search finds nobody, clear it and check the appropriate group. Do not choose an unrelated person simply to continue.

3. Write and review your message

In the conversation, use Write a message. The composer also includes Attach an image, an emoji control and Send message. Check the recipient and any attachment before sending; remove unrelated personal or client information from screenshots.

Use Send message when the message is ready, then check the actual conversation for the result. If the result is unclear, inspect the thread before sending the same text again.

Review the message before sending.

4. Make the first message specific

Fictional first message

Hi Maya, thanks for reaching out about bookkeeping. Which months would you like brought up to date, and what records do you already have? Once I understand that, we can arrange a short call to agree on the next step. — Jordan

This acknowledges the requested work, asks a relevant question and offers a next step. Replace the fictional names and service with the facts from your own lead; avoid promising an outcome before reviewing the work.

5. Follow up with context

Fictional follow-up

Hi Maya, following up on my question about the months you’d like help with. If bookkeeping is still a priority, send the date range and we can choose a time to talk. If your plans have changed, just let me know. — Jordan

Keep the follow-up in the relevant conversation. Refer to the unanswered question and make it easy for the client to respond. Avoid inventing urgency or repeating the same message across multiple channels.

Common questions

Why is Start chat disabled?

Select at least one available recipient. In the pictured Customers view, none of the available test contacts has been selected.

What should my first message include?

Acknowledge the requested service, ask one relevant question, and offer a clear next step. The fictional message in this guide shows that structure.

Does writing a draft send it?

No. Review the recipient and content, use Send message when ready, and check the actual conversation for the result.

What if I am unsure whether my message sent?

Inspect the conversation and any displayed result before sending a duplicate. Do not infer receipt merely from text appearing in the composer.

Keep the client record connected

For Uncle Kam-supplied clients, keep the agreed scope, requested information, material price changes and next step in the platform conversation. If a client asks to use an outside payment method, keep the reply practical and ask Support for help rather than sending a personal payment link.

Let’s keep the work and payment in Uncle Kam so we both have a clear record of the engagement. I’ll help you find the next step in your account. If something is not working, we can ask Support to help.
