1. Give the meeting a useful title
Open Appointments, then select New appointment. Step 1 asks What is this meeting about? Enter a descriptive Title, such as Bookkeeping discovery call. Use Details for the short agenda, then Continue.
If you see A title is required, enter your title before advancing. The gray “Quarterly tax review” text is an example placeholder; it does not count as your entered title.
2. Choose who should attend
Step 2 asks Who should attend? Use Search people to invite and select the intended participant. Check their identity before Continue.
The populated test example shows selectable people. A different account may have an empty list. If you see There is nobody available for you to invite yet, you need an available attendee before moving on. Continuing with none selected produces Invite at least one person.
3. Choose meeting type and duration
Step 3 asks When should it happen? Choose Video Appointment or Phone Appointment, then select an available duration. Recheck the duration after switching the meeting type.
In the captured examples, video offers 30 or 40 minutes. Phone also offers 15 minutes, 45 minutes, 1 hour, 1 hour 30 minutes and 2 hours. Use the choices shown for the type you are booking rather than assuming both types have the same list.
4. Check the date, time and timezone together
Choose an enabled date, read the Time zone selector, then select an offered time. The calendar and time choices are separate controls; seeing a date on the calendar does not mean a time has been selected.
Confirm the timezone with the attendee. If the displayed choices do not match the meeting you intended, go back and check the date, duration and timezone before creating it. The example shows Pacific Time; it is not a rule for every appointment.
5. Review and check the booking result
- Title: Bookkeeping discovery call
- Purpose: Confirm the months and available records
- Attendee: Maya, the intended client
- Format: Video, 30 minutes
- Timing: Agree on the exact date, time and timezone before booking
Review those details, then use Create appointment when you intend to book. Check the result and the appointment record. For a video meeting, the product describes creating a Zoom link and sharing it with invitees; confirm the actual invitation and joining information before treating them as received.
Use the Appointments calendar and table views to locate the record. In table view, check Upcoming or All as appropriate. If the result is unclear, look for the existing appointment before creating a duplicate.
Common questions
Why does the wizard say a title is required?
The title field is empty. Its gray example text is a placeholder. Enter a descriptive title, then Continue.
Why can’t I move past attendees?
Choose at least one available person. If the list says nobody is available to invite, there is no attendee to select in that view.
Are phone and video durations identical?
No. The captured phone and video screens show different lists. Check the choices after selecting the meeting type.
Does reaching Create appointment mean it is booked?
No. Submit only when ready, then check the actual result, appointment record and invitation details.
